Suitable garage, dealer and fleet work

Trade work runs smoothly when the instruction is complete before the driver sets off. We need the registration or VIN, collection and delivery contacts, vehicle condition, keys, access, opening hours and the reference that authorises release.

AtWheel can support garage transfers, dealer stock movements, auction collections, customer breakdowns, bodyshop deliveries, fleet recovery and non-runner transport. Each vehicle is still checked individually so the equipment and legal payload remain suitable.

Suitable garage, dealer and fleet work

Typical work includes collecting a customer vehicle for repair, moving dealer stock, delivering to a bodyshop, collecting from an auction, transporting a non-runner between workshops and recovering a fleet vehicle after a breakdown. Cars, motorcycles and suitable vans can be reviewed according to their size, weight and condition.

AtWheel does not assume every vehicle on an account is the same. A lowered car, long-wheelbase van, electric vehicle, damaged wheel or missing key may need a different plan from a standard running car. Heavy vehicles, specialist plant or work outside the available equipment may need another provider.

What every instruction should include

Provide the registration or VIN, stock or job reference, vehicle type, collection address, delivery address, named contacts and opening hours. State whether it starts, rolls, steers, brakes, selects neutral and has keys. Include visible damage, warning messages and any loose parts or load that affects the movement.

Site information matters too. Tell us about security gates, booking slots, PPE, height barriers, loading zones, underground access and out-of-hours handover. Auction and dealer collections should include the correct release reference before dispatch.

Authorised contacts and changes to the job

The instruction should identify who can approve a change in price, destination, waiting time or loading method. A site contact may be able to release the keys without having financial authority. Agreeing that distinction before collection avoids delay when the vehicle differs from the original description.

If the vehicle has locked wheels, no keys, undisclosed damage, excessive weight or unsuitable access, AtWheel may pause, re-price or decline the movement. A purchase order does not require unsafe work or a job outside the available equipment.

Collections, handovers and job records

A useful job record identifies the business reference, vehicle, collection point, destination, contacts and declared condition. Keys and documents should be handed to the named recipient or managed through the site’s agreed process. Tell us in advance when photographs, signatures or a particular handover record are required.

Status updates can be given through the contact route agreed for the account. Where a compatible CRM connection is configured, job information may also be passed into the customer’s system, subject to the agreed data and security arrangements.

Quotes, invoices and account terms

A trade quote may consider dispatch travel, loaded mileage, vehicle category, loading condition, access, waiting and timing. Repeat routes can still vary when the vehicle or site changes. Purchase-order and invoice requirements should be supplied before billing rather than after the job has been completed.

Credit terms, account limits and tariffs are subject to approval and written agreement. One-off work may require payment before collection. No account arrangement overrides safety, payload limits, accurate vehicle information or the destination’s ability to receive the vehicle.

Starting a trade relationship with AtWheel

Begin with the legal business name, billing address, accounts contact and authorised operational contacts. Explain the type of vehicles, usual routes, expected frequency, invoice requirements and any site rules that apply repeatedly. We can then discuss whether one-off booking or an approved account process is the better fit.

A good repeat process should make instructions easier without becoming careless. Access notes, opening hours and contact details should still be checked for each job because sites, staff and vehicle condition change over time.

Keeping repeat work simple for staff on both sides

Repeat bookings work best when the people placing instructions use the same basic information every time: vehicle, condition, collection contact, destination contact, timing, reference and access. This reduces telephone chasing and makes it easier for a driver to identify the correct vehicle at a busy yard, dealership or workshop.

A named person should be able to approve changes when a vehicle is not ready, the destination refuses delivery or the loading condition is different from the instruction. AtWheel will not assume that an unauthorised person can change the route, approve extra waiting or redirect a vehicle that is already loaded.

For higher-volume work, the process can be reviewed around the customer’s real workflow. That may include agreed contact routes, purchase-order requirements, collection references and invoice information. Any service level, tariff, credit or account terms must be confirmed separately and do not override safety, legal payload or access limits.

The person placing the booking remains responsible for giving accurate vehicle and release information. Where a vehicle contains stock, tools, personal belongings or an uncertain load, tell us before collection so weight, security and insurance questions can be considered. AtWheel may ask for the vehicle to be emptied or for written authority before moving it.

Account customers should also keep their authorised-contact list current. When an employee leaves, a branch closes or invoice details change, notify AtWheel before the next instruction. This helps prevent an old contact from approving work or a vehicle being delivered to a site that no longer expects it.
